Position Description

The Idaho Youth Ranch is excitedly looking for a new Ranch Campus Administration Assistant our Hands of Promise Campus in Middleton, ID. Horses at this facility have helped hundreds of kids through a therapeutic treatment model called Equine Assisted Psychotherapy (EAP).

As the Ranch Campus Administration Assistant you will provide clerical, administrative, and operational support for the campus. This job requires the applicant to adhere to the highest standards of customer service. Those who apply must have the following traits and skills: an ability to manage multiple tasks and requests; basic computer skills; basic writing, grammar and spelling skills; a results oriented mindset; and an ability to work within a team structure. • Greets telephone callers and visitors in a friendly and helpful manner
• Assists with meetings; scheduling GoToMeetings, conference calls, prepping rooms, purchasing food Assists with intakes, paperwork, scheduling and client payments
• Schedules campus assets including activity spaces, horses and partner lessons
• Maintains client records ensuring the accuracy and confidentiality of information
• Maintains policy, procedure and contract binders
• Maintains and updates filing system for department(s). Retrieves information from files
• Handles confidential and non-routine information and explains policies when necessary
• Assists in the collection and completion of documentation need for regulatory visits
• Prepares letters, reports, documents, etc. for assigned personnel
• Manages incoming and outgoing mail for office
• Manages the general accounting items for the facility including invoices and petty cash
• Maintains office supply inventory
• Maintains car fleet records and inspections
• Helps with travel arrangements as needed
• Ensures the public areas of the facility are maintained properly
• Other duties as assigned

Must Haves:
• High School Diploma.
• Two years working experience as a secretary, office assistant or related position, handling phones, bookkeeping and various other clerical duties
• Experience with Medicaid, BestNotes, or clinical data entry preferred
• Some secretarial/clerical courses in college or technical school is preferred
• Computer literate with word processing, spreadsheet and some experience with database programs
• Must be at least 21 years of age

Physical Requirements, Mental, Equipment & Working Condition Elements:
• Incumbent may be required to stand for long periods of time or may sit for long periods of time in a temperature controlled environment
• Incumbent may work outdoors and around large animals in extreme weather conditions, including hot and cold environments
• Incumbent may use calculators, keyboards, telephone, and other office equipment in the course of normal workday
